Frequently Answered Questions
- Fall semester hours: Students can begin working up to 20 hours per week as of August 21. Students who are working 40 hours during the summer must resume their 20 hours per week for the fall semester. Failure to communicate these changes will result in your student not being paid for that pay period and supervisors will need to submit a paper timesheet.
- When are timesheets available? After a student is hired (approved email sent by the SEO) their timesheets are usually available the Thursday before the pay period in which the student was approved.
- Timesheet Deadlines: Student timesheets that are approved after the 4 p.m. deadline on the Monday that timesheets are due must notify Danielle Redden at 312.567.3424 in the Payroll Department. Failure to communicate these changes will result in your student not being paid for that pay period and supervisors will need to submit a paper timesheet.
- Termination PAs: If a student is no longer working in your department, send a Termination Payroll Authorization to Kathryn Potts at kpotts1@iit.edu (scan and email) or IIT Tower, Suite 9D6-2 (interoffice mail). If your student is graduating at the end of the fall semester use the end date December 2, 2017 when submitting the PA.

- Handshake: Handshake has replaced our previous system, Jobs4Hawks, for all on-campus and experiential learning student hiring. Read more.
- EPAF Academic Year: When supervisors enter fall EPAFs, make sure to use the Academic Year 2018.
- EPAF Approval: All electronic approvals must be completed in order for the EPAF to move to the next step in the process. You may need to follow up with colleagues (supervisor or budget manager) if they didn’t see the email asking them to approve a student for hire.
- Employment Law Reminder: Employment law states that students are not permitted to start working until all paperwork has been submitted and approved. Students must wait to receive an email from the Office of Student Employment stating they can work. Failure to submit paperwork will delay your on-campus start date. Unless otherwise noted students only have to submit the paperwork one time to the student employment office for processing.
