Software Purchases

As a reminder: Per Illinois Tech policy, all software license agreements need to be signed by the Vice Provost and CIO, Ophir Trigalo in the Office of Technology Services. OTS works with the General Counsel and reviews all software purchases to ensure compliance and proper use of university resources. OTS checks software orders against the catalog of academic license agreements the university already has in place with a number of vendors. This effort is directed at making sure the Illinois Tech community is getting the appropriate academic pricing for these titles. To do this, OTS needs copies of all documentation associated with a software-license request. This documentation includes: the purchase quote; the license agreement contract; and the end-user license agreements.

To initiate an order for software, please submit a ticket to the OTS Support Desk at https://support.iit.edu or via the link on the myIIT portal. This will result in the assignment of an incident number. Please attach the above-mentioned documentation to the service-request ticket so OTS can review the materials and provide direction to the Ordering Department as to how best proceed with the purchase. When the Ordering Department receives this direction from OTS, a requisition will be entered into Banner, referencing the incident number. Purchasing will check for this incident number to make sure that OTS has been contacted. Requisitions received in Purchasing that don’t reference the incident number will be delayed while Purchasing verifies the purchase with OTS. Any documentation sent to Purchasing that relates to a software purchase will be sent to OTS for review. Although the order will be placed either way, by not submitting a ticket to initiate your order, please know the processing of your order will take longer than it otherwise would have. OTS has established Volume License Agreements with Microsoft, Adobe, and several other vendors. All purchases from these vendors should be directed to the Support Desk and be handled via journal vouchers (JESR).
